Write a workable contact plan
List a few possible call times in each person’s local time, including the day. Then confirm which one you are actually choosing. Check the two local times when you make the plan rather than assuming you both understood the same time.
A sample message is: “Would a call at eight your time work on Wednesday? Please tell me what time that is for you before we confirm.” An invitation is not a requirement to remain available all evening.
Agree how to handle a missed call
You could propose: “If either of us cannot make it, let us send a message when we can and arrange another time. I will not assume a new time is agreed until we confirm it.”

Make room for more than a status update

Try choosing one subject each: a small event you want to describe, something you are looking forward to, or a question about a shared plan. “What caught your attention today?” invites a different answer from asking for a complete account of the day.
A sample call with a clear ending
Imagine you have twenty minutes. You could spend the first part on what each person wanted to mention, discuss one plan, and finish by confirming whether another call is agreed. If a serious topic needs more time, say so rather than assuming it was resolved when the call ended.
For example: “We agreed about the visit dates. We still need to talk about where to stay.” You could keep a note of that open question to raise next time, if you both want to discuss it.
